Operations Hub
Role: Orders, sales & operations | 35 hours
The basics of your job are simple: picking orders and helping customers, but…
we are looking for someone who likes being right in the middle of the company. Definitely not behind a desk, but among the customers, the products, the orders, the colleagues and everything that happens in a day.
Someone who takes on a wide range of tasks that need doing alongside fulfilling orders. In addition to fulfilling orders with your colleagues, you will also take care of all other practical tasks in the operations.
But we are not just looking for someone to pick orders.
We are looking for someone who sees what is happening around them. When things get busy, you switch gears. If something gets stuck, you solve it. If a colleague cannot go on, you help. If something is left undone, you make it a topic of discussion.
At KOOS, freedom and independence are important parts of how we work.
You do not need to ask permission for every decision. On the contrary, we expect you to think for yourself, take action and take responsibility.
That can mean all sorts of things.
You are looking for that one specific part for a customer.
There is a promotion for which something still needs to be ordered.
You are on the phone with a customer about a new order.
You update the banner in the webshop for the Christmas holidays.
You answer a customer question via WhatsApp.
A shelf is empty and you quickly restock it to help your colleague.
A computer refuses to do it and you figure out how to solve it.
And in the meantime, the new orders and customer questions just keep coming in.
What we are looking for
Someone who thinks:
“Nice. I want to keep an overview, but preferably do that directly on the shop floor.”
You love taking action, switching gears and finishing what you start. You are sociable and easily connect different people, but you also dare to be assertive.
You are very handy with computers and are eager to learn.
You would rather be physically active than sit still.
You would rather be practical than theoretical.
And you would enjoy advising customers about hair dryers, scissors, shampoo and interior design.
You can handle hectic situations and switching gears.
And not having a boss around every day does not make you insecure.
See. Switch gears. Take action. Arrange. Finish.
Sounds fun? Read all about your new role below!
What will you actually do?
Orders 60%, helping customers on the phone and in the wholesale shop 20% and taking on a wide range of tasks in the organization 20%.
That forms the basis of your work. This means you are right in the middle of our daily operations. And that is exactly where all sorts of things happen.
A customer calls with a question about a product. You contact the supplier and your team to give the most appropriate answer.
A colleague cannot go on because a computer, card machine or machine is not working. Then you do not think: not my job. You figure out what is wrong, call the helpdesk or supplier if necessary and make sure things can move forward.
A customer calls and cannot log in. You take a quick look and make sure the online order can still be placed — or you take it over the phone.
You notice that something goes wrong the same way every week. Then we do not expect you to work around it for months. You raise it, for example during our KOOS update on Thursday morning, so we can look together at how it can be improved.
Sometimes the solution is practical. Sometimes commercial. Sometimes digital. And sometimes we just need to sit down together and talk about it.
That is why we call this role Operations Hub. Not because you become the boss of operations, but because you see a lot, are allowed to do a lot, easily move between different tasks and people, look at things practically and help to get things done.
And in the meantime, the new orders of course still need to be picked. Quickly, carefully and as efficiently as possible. And preferably with a bit of fun. Singing is also done while picking orders.
What kind of place will you get at KOOS?
KOOS is certainly not an organization where a manager must be found for every decision. We work with experienced colleagues who know a lot about their own field. The owner is not present every day, because everyone can work independently.
That does not mean that no one is in charge. And it also does not mean that everyone just does whatever they feel like. It mainly means that we trust people to do their work well.
If you know a lot about something, we expect you to use that.
If you see that something needs to be solved, you do not need to ask permission three times first.
If you make a mistake because you made a reasonable decision yourself, we will talk about it and learn from it.
You also do not need a job title to take responsibility for something. Do you see something that could be better? Say it. Is a colleague stuck and can you help? Help. Do you think we are missing out on a commercial opportunity? Seize it or discuss it.
And if something goes wrong, we will discuss it and find a solution.
Who will you work with?
You will join a small team in which many people have worked at KOOS for a long time. That means a lot of knowledge, a lot of experience and also different characters.
Monique – Head of Orders & Beauty
Sanne – Head of Orders & Customers
John – Head of Purchasing
Rico – Head of Logistics
Daniel – Head of Marketing
Vanessa – Head of Administration
Ferry – Head of Relations & Sales
Olav – Head of Head & Development
We are looking for someone who easily works with different people: young and old, practical and commercial, warehouse and administration, customer and colleague.
You do not need to sit in between everywhere. But we do think it is important that you easily connect and do not exclusively think from your own piece of the work.
How we like to work together
The atmosphere at KOOS is informal. Cozy and serious can easily go together at our place.
We do not particularly like grandstanding, complicated job titles or unnecessary hierarchy. We do like people who take their responsibility.
When we work, we give it our all. That means picking up the pace when it is busy, not letting customers wait because it is just lunchtime, helping each other when someone is falling behind and finishing what needs to be finished today.
But there is a trade-off.
We think work-life balance is important. Overtime is not part of the culture here. Maybe there is one exceptional day in the year when everything happens at once and we keep going a bit longer. It really should not be more than that.
We drink coffee together twice a day. Not because we have nothing better to do, but precisely because we think it is important that we talk to each other, know what is going on and do not just work past each other.
Every Thursday morning at 8:00 we also have our regular KOOS update. There we discuss what is going on, what can be improved, where opportunities lie, what we need from each other and everyone gets a say.
A practical problem, a commercial opportunity or something that has been annoying for three weeks? That can simply be put on the table.
What do you need to be good at?
We are not looking for someone who has a diploma for everything. We are mainly looking for a certain kind of attitude and way of working.
Taking action
You do not consider physical work a problem. You lift boxes, walk a lot, stand a lot and simply pick orders when they are there. On busy days, the pace needs to pick up. That gives you energy rather than stress.
Switching gears
You can be busy with something while a customer calls in the meantime, a colleague asks something and a problem arises somewhere. That does not mean you do everything half-heartedly at the same time. It means you can decide: what needs to be done now, what can wait and what must I not forget?
Digitally handy
Computers and IT play a major role at KOOS. You absolutely do not need to be a programmer, but new software does not intimidate you. You find your own way in systems, can think logically when something does not work and try to understand what is happening before you say that it cannot be done.
Ownership
Perhaps the most important.
If you think: “Someone should really solve this.” Then our follow-up question is usually: “Can you do something about that?”
Ownership does not mean that you have to be able to do everything yourself. It does mean that you take responsibility until something can move forward again.
People
You enjoy working with customers and colleagues. You are helpful and sociable, but you do not need to constantly please everyone. We think it is especially important that you can also say something when something goes wrong.
Being sociable and assertive can easily go together.
Commercial sense
You do not need to be a salesperson who tries to sell something every minute. We do think it is important that you understand that customers are valuable. That you listen. Recognize opportunities. Call someone back when it makes sense. And understand that a good solution for a customer ultimately is often just good business.
What do you NOT need to bring with you?
You do not need to be a hairdresser. Experience in a hair salon or in our industry is not necessary. In fact, we might even find it interesting if you come from a completely different world.
We will teach you our products, customers and industry. You bring your own qualities.
Technical insight, commercial sense, logistics experience, retail, hospitality, customer service, IT, operations: it can all be relevant.
For us, above all: we prefer character and potential over the right papers.
You should also know this
We can make a nice job description out of it, but this is also simply part of it.
You lift boxes. You walk a lot. For a substantial part of the week you are physically picking orders. On busy days, the pace needs to pick up.
Sometimes you are interrupted five times while you are busy with something. Sometimes a customer wants something solved now. Sometimes a computer or machine does not work while no one immediately knows why. Sometimes two colleagues both have a different view of what needs to happen.
And sometimes there are simply 70 orders that need to go out. Then we go pick them.
If you are mainly looking for a role where it is precisely stated where your responsibility begins and ends, you will probably not be happy at KOOS.
If, on the other hand, you think: “Nice. Just give me some space, then I will arrange it.” Then we would like to speak with you.
How will the induction go at KOOS?
We do not expect you to come in and immediately know everything. In fact, we want you to first understand how the company really works and 9,500 articles and 2,500 customers that you do not just know, but it will go faster than you think:)!
That is why your induction period consciously starts very practically.
1. Get to know the products
You will start with filling shelves, among other things. Not the most exciting work in the world, but a very good way to see a lot of products in a short time and understand where everything is located.
2. Pick orders
After that you will pick a lot of orders. Through that you will not only get to know our products, but also which customers order what, which brands are important and how our daily operations work.
3. Telephone, customers and sales
After that you will help more and more customers: answer the phone, take orders, answer questions, look things up and above all listen to what customers actually need.
4. Join a route
You will join a route to our customers a few times. Get out of the warehouse for a bit. Walk into a hair salon. See who our customers are, how they work and where our products ultimately end up.
We think it is important that you do not only know our customers as a customer number in a computer system.
5. Take on more and more yourself
From there your role will naturally become broader: your own tasks, commercial opportunities, problems, improvements, technical or digital matters and collaboration.
What exactly your strengths will be does not need to be fixed on day one. That is precisely what we want to find out together.
But one thing does not change: orders and sales are the main part of your work.
So you do not grow “out” of the daily work after six months into an office chair. Precisely because you remain right in the middle of the operations, you see where commercial opportunities lie and which improvements are practically, digitally or in our way of working needed. You raise it and together with the team you take it on.
What does a normal workday look like?
That one does not really exist. And yet, an average day looks roughly like this.
You come in and look together at what needs to happen that day. After that, the orders begin. In the meantime, the phone rings.
A customer wants to know if something is in stock. Another customer has ordered something incorrectly. A machine does not work. Someone asks if you can help look for a moment. A driver comes in. You see that an article is almost out.
And during the conversation with a customer, you think that we could perhaps offer the same to ten other customers.
So the day sometimes goes differently than you thought at 09:00. You have to be able to handle that. In fact: you have to love it.
Not because we like to create chaos. But because a small company simply means that things are close together.
And precisely for that reason we are looking for someone who can keep an overview without only being busy with keeping an overview.
How/when we work
KOOS is a small company. No complicated management layers and not a meeting for every single thing.
We work independently, get a lot of freedom and expect from each other that we take responsibility. We love coziness, but when we are here, we give it our all.
The trade-off is that work is also simply work.
Fulltime at our place is 35 hours per week.
Overtime almost never happens. Work and private life both need to be able to exist well.

We prefer to go for character and potential than for the right papers.
